Cleveland Play House seeks a Development Associate to support the administrative needs of the development department, maintain the records in the database, and ensure that the gift processing is managed in an accurate and timely manner.

Responsibilities include:
*  performing the daily gift processing of contributions and maintaining the records in a manner necessary for the finance department and for purposes of the audit;
*  managing donor acknowledgment and pledge invoicing processes;
*  updating and maintaining donor records in a customer-relations database (Paciolan);
*  processing special requests by board, staff and donors for tickets to shows;
*  coordinating communication between ticketing and development databases;
*  tracking department expenses and budgets;
*  maintaining accurate and up-to-date donor materials and recognition lists in print, on the website, and in the theatre spaces;
*  producing and maintaining development gift tracking and donor records files in a shared drive, and also maintaining other shared drive files as needed or in anticipation of future needs;
*  working closely with staff responsible for corporate, foundation and individual fundraising to provide assistance with events, mailings, and request submission;
*  assisting with special events, cultivation events, department activities and individual donor benefits fulfillment;
*  supporting the implementation of all mailings by working with colleagues in development, the CPH graphic designers and the direct mail house and preparing letters, materials, and mail merges and lists needed for departmental mailings, invitations, etc.;
*  monitoring and ordering supplies for department and, as needed, for large direct mail campaign and preparing schedules for designers and the direct mail house;
*  creating and generating reports in Paciolan for mailing lists, income reporting and other requests as needed;
*  generating progress reports for all development income areas, as needed;
*  generating reports for monthly income reconciliation with the finance department;
*  generating other department tracking reports, per requests;
*  maintaining the Director of Development's calendar and the shared department calendar;
*  scheduling meetings, making reservations, preparing meeting materials, and tracking follow-up;
*  prepping donor documentation for annual audit;
*  attending staff meetings and development department meetings;
*  attending Development Committee meetings and related sub-committee meetings as needed;
*  attending board meetings, and other board committee meetings if requested;
*  attending and assisting with special events including show openings, Hall of Fame ceremonies, Festival of Trees, show sponsorship program, the annual benefit, and any cultivation and engagement activities as scheduled or requested; and
*  other duties as assigned.

Candidates should possess:
*  excellent proficiency with Word, Excel, and relational databases;
*  good writing and communication skills;
*  good planning and organizational skills;
*  the ability to multi-task and prioritize;
*  excellent relationship-building ability and the ability to work well under pressure; and
*  self-initiating and good team-playing skills.

Some past experience with data management software is preferred.

Schedule will include some nights and weekends.

This position reports to the Director of Development.

Compensation is low to mid 20s with benefits.
