Cleveland Play House seeks Assistant to Managing & Artistic Directors
Cleveland Play House seeks as Assistant to the Managing and Artistic Directors, whose role is to manage the executive offices in an efficient, timely, and diplomatic manner. This person serves as a pivotal liaison to the staff, Board of Directors and partner organizations. Responsibilities include: * Scheduling and management of calendars for the Artistic and Managing Directors. * Managing and organizing the offices of the Artistic and Managing Directors. * Handling reservations and travel arrangements for conference attendance and company business travel for the Artistic and Managing Directors and others as needed. * Overseeing Artistic general office spending. * Coordinating opening night notes/gifts to guest artists. * Scheduling and management of staff functions as necessary. * Scheduling and management of calendars for the Board of Directors and its committees. * Coordinating and management of Board and committee meetings, including materials, presentations, meeting execution and follow-up assignments. * Scheduling, coordination and management of the Annual General Meeting and/or Board retreat, including event planning, budget control, materials, presentations, meeting execution and follow-up assignments. * Taking, transcription and distribution of minutes and/or notes for staff, Board, and committee meetings. * Organizing, maintaining and distribution of pertinent files for staff and board. * Maintaining the Board website portal. * Creating and distributing all updated board and committee orientation materials. * Coordinating and executing events and meetings for partner organizations as directed by the Artistic and Managing Directors. Candidates should possess: * Proficiency in MS Office (particularly Word, Excel, Outlook, and PowerPoint). * Advanced interpersonal communication skills. * Utmost discretion when dealing with confidential information. * Polished writing skills. * A high degree of organization. * The ability to multi-task, prioritize and work well under pressure in a fast-paced, creative environment. * A passion for theatre. Experience transcribing audio files to written minutes is a plus but not required. More important than experience is an aptitude and willingness to accept new and increasingly complex responsibilities. Candidates should be available to move into this position at the end of May.
